If you are planning to work on campus this year, and have never worked at Houghton before, you must complete an I-9 and Payroll paperwork before you can legally begin working.
- A student must first be hired by a department on campus before doing payroll paperwork. Contact information for various campus departments that regularly employ student workers can be found under the Student Employment Opportunities section below.
- The hiring supervisor will submit new student hire info to Payroll, and the new hire will receive an e-mail from Payroll with information on how to sign up and prepare for their in-person Payroll Paperwork Appointment.
- Please note, all required quarantine periods must be completed before attending an in-person Payroll appointment.
- Once a student presents the required IDs (see below) at the in-person appointment and completes the I-9 and payroll paperwork forms, he/she will be provided a Red Card, which verifies they have been cleared to work by the Payroll Office.
- The Red Card must be shown to the supervisor by the student, before work can begin.
- The Red Card authorizes a student to work for any department on campus, during his/her term as a full-time student of Houghton College. Once it has been obtained, payroll paperwork does not need to be renewed to begin working for a different department on campus; the student must simply present the Red Card once hired by a new department.
*All students planning to work must bring two original current forms of ID to campus for employment verification. No photocopies accepted. Most commonly:
- Current Driver’s License/learner permit and
- Social Security Card or Birth Certificate
- (If you have a current Passport, that will work for both forms of ID)

*Direct Deposit is Houghton College’s method of payment. Please note that your checks may be deposited into any participating bank account and you will need your bank name, phone number, type of account, routing number, and account number.
* International students must also provide an I-20 (student visa) and visit the International Affairs Office upon arriving on campus regarding how to apply for a social security number.
* NOTE: Students are NOT permitted to work on campus before presenting aforementioned identification and completing the required paperwork with Payroll.

Other Forms
Before starting your summer employment:
- You need to complete a Employment Form, even if you have worked on campus before. Be sure to get your supervisor's signature with Department name and turn it in to the Payroll Office
- Please check with the Payroll Office to be sure you are in our payroll system. If you are not in our system you will need to fill out required forms

NOTE: Our preferred form of payment is by direct deposit to your bank account. You may be paid in the form of a live check, however, please be advised that if you are responsible for the misplacement of a check, there will be a $40.00 fee to stop payment on that check. If you choose to be paid by direct deposit, please fill out the Direct Deposit Form. Thank you.

With social distancing requirements in place, as much communication about Payroll concerns should be conducted via phone or e-mail as possible. The procedures that require an in-person meeting are as follows:
- For NEW Student Workers, looking to set an appointment to do an I-9, payroll paperwork, and receive a Red Card to be cleared to work:
An e-mail with a unique appointment link for setting a "New Hire Payroll Paperwork appointment" will be send automatically once the hiring supervisor submits the student's name to Payroll. There will also be a link to set up separate paperwork pickup appointment for all the necessary forms for this type of meeting. These appointment links are ONLY AVAILABLE via this automated e-mail. If it has been more than 3 days since you've been hired and you have not yet received this e-mail, please contact your supervisor, and then Payroll. Do NOT use the links below to set up this type of appointment.
- For CURRENT Student Workers (those who have already received a Red Card)
- You may set up an appointment to receive a replacement for a lost or damaged Red Card here.
- You may set up an appointment to pick up or drop off paperwork to update information on file with Payroll here, such as changing address/contact information, provide new or updated Direct Deposit information, or submit an updated tax form.
If you are uncertain what type of appointment you need, please contact the Payroll office directly via phone or e-mail before setting up an in-person appointment.
